Terms & conditions
1. MAKING A BOOKING
By making a booking, you confirm that you are authorised to do so on behalf of all persons named on the booking and that all members of your party agree to be bound by these Terms & Conditions. Your booking is subject to availability. Please check your booking confirmation carefully and contact Hide In The Downs as soon as possible if any details are incorrect or incomplete. Bookings are for the number of guests stated on the booking confirmation only. Additional guests or visitors are not permitted without prior agreement from Hide In The Downs.
2. PAYMENT All bookings must be secured by payment in accordance with the booking terms provided at the time of reservation. Any remaining balance will be payable in accordance with your booking confirmation. Any additional charges incurred during your stay may be payable at or following checkout. If payment is not made when due, Hide In The Downs reserves the right to suspend or cancel the booking in accordance with the applicable booking conditions.
3.CANCELLATIONS & AMENDMENTS
Cancellation and amendment terms are those stated at the time of booking and on your booking confirmation. If you need to amend or cancel your booking, please contact Hide In The Downs as soon as possible. Where a booking is cancelled within the applicable cancellation period, charges may apply in accordance with the booking conditions. Hide In The Downs reserves the right to cancel or curtail a stay where a guest or member of their party behaves in a way that causes, or is likely to cause, danger, damage, upset or distress to other guests, staff, the accommodation, property, wildlife or the surrounding environment. Where a stay is curtailed due to a guest's failure to comply with these Terms & Conditions or the House Rules, no refund or compensation will ordinarily be provided.
4.ARRIVAL & DEPARTURE
Check-in and check-out times will be confirmed as part of your booking. Guests must vacate the accommodation by the stated checkout time unless a later checkout has been agreed in advance. The accommodation and surrounding area must be left clean and tidy and ready for the next guest. Guests are responsible for ensuring that all washing up is completed, rubbish is removed and the fire pit is safely extinguished before departure. Please see the House Rules for full details. Late checkouts must be agreed in advance. A charge may apply where a late checkout has not been authorised.
5. PARKING
Parking is provided on the property for guests' convenience. All vehicles and their contents are parked entirely at the owner's risk. Hide In The Downs accepts no responsibility for any loss, theft, damage or other incident involving vehicles or their contents while parked on the driveway or elsewhere on the property. Guests are responsible for ensuring that vehicles are parked safely and do not obstruct access to the property or other guests.
6. ADDITIONAL GUESTS & VISITORS
The accommodation may only be occupied by the number of guests stated on the booking. Additional guests or visitors are not permitted without the prior agreement of Hide In The Downs. Hide In The Downs reserves the right to make an additional charge or require unauthorised guests to leave the site.
7. DAMAGE & ADDITIONAL CHARGES
Guests are responsible for any damage to the accommodation, facilities, equipment or property caused by themselves or any member of their party. Any damage caused wilfully, through inappropriate use, negligence or failure to follow instructions may result in the guest being charged for the cost of repair or replacement. A £150 cleaning fee may be charged where additional deep cleaning is required as a result of a guest's actions or failure to comply with these Terms & Conditions or the House Rules. This may include, but is not limited to: • Smoking or cannabis smoking within or around the accommodation. • Strong smoke or cannabis odours requiring additional cleaning. • Excessive mess. • Failure to complete washing up. • Staining or contamination of furnishings, bedding or other items. • Damage or misuse of the accommodation or its facilities. • Any condition which requires additional cleaning or preparation before the next guest can use the accommodation. The £150 charge may cover the cost of deep cleaning and/or reasonable compensation where the condition of the accommodation, furnishings or facilities affects the experience or use of the accommodation by the next guest. Where actual damage or replacement costs exceed £150, Hide In The Downs reserves the right to recover the additional reasonable cost of repair or replacement.
8. INSURANCE & LIABILITY
Guests are responsible for their own safety and for the conduct and safety of children or other members of their party for whom they are responsible. Hide In The Downs will take reasonable care in providing the accommodation and facilities. However, guests acknowledge that the site is located in a natural environment and may include uneven ground, changing weather conditions, wildlife and other naturally occurring hazards. Guests use the facilities, including the fire pit and any outdoor amenities, responsibly and at their own risk. Vehicles and their contents are parked entirely at the owner's risk. Hide In The Downs accepts no responsibility for any loss, theft, damage or other incident involving vehicles or their contents while parked on the driveway or elsewhere on the property. Guests are responsible for taking reasonable precautions for their own safety and the safety of others.
9. ADDITIONAL REQUESTS
Any additional or special requests are subject to availability and cannot be guaranteed unless confirmed by Hide In The Downs in advance. Guests should make any special requests as early as possible before their arrival.
10. COMMERCIAL BOOKINGS
Bookings are for personal leisure purposes unless otherwise agreed. If you wish to use the accommodation or site for commercial purposes, filming, photography, events, retreats or any other commercial activity, you must contact Hide In The Downs before making the booking. Separate terms, conditions and charges may apply.
11. THIRD-PARTY SUPPLIERS
Elements of a stay may include goods or services supplied by third parties. Where applicable, third-party suppliers may have their own Terms & Conditions, which guests should familiarise themselves with before using their services. Hide In The Downs is not responsible for services or goods supplied directly by third parties. DATA PROTECTION Hide In The Downs will handle personal information in accordance with applicable data protection legislation and its Privacy Policy. Personal information will only be shared with third parties where reasonably necessary for the provision of the booking or associated services, or where required by law.
12. COMPLAINTS
If you have a concern during your stay, please contact Hide In The Downs as soon as possible so that we have an opportunity to resolve the matter. Where possible, complaints should be raised during the stay rather than after departure, as this gives us the best opportunity to investigate and resolve the issue. Any complaint should be made promptly following the stay.
13. COMPLIANCE
By making a booking and staying at Hide In The Downs, you agree to comply with these Terms & Conditions and the House Rules. Failure to comply may result in additional charges, including cleaning, repair or replacement costs. In serious cases, or where a guest's behaviour causes danger, damage, upset or distress, Hide In The Downs may curtail the stay and require the guest to leave the site. No refund will ordinarily be provided where a stay is curtailed as a result of a guest's breach of these Terms & Conditions or the House Rules. Guests are responsible for ensuring that every member of their party is aware of and complies with these requirements. Thank you for helping us look after Hide In The Downs, the surrounding wildlife, the environment and the experience of our future guests.
